Evenfall Data Retention Policy

This policy describes how long Evenfall, a product of Axiom Frontier Intelligence LLC, keeps the information described in our Privacy Policy, and what happens when an Outfitter cancels or a Guest asks for deletion.

While an Outfitter's subscription is active.

Trip details, Guest contact information, photographs, and generated keepsakes are retained for as long as needed to provide the service. Delivered keepsake pages remain available to Guests for the life of the Outfitter's subscription.

Voice recordings.

The guide's voice recording exists to generate the keepsake. Recordings are deleted within 30 days after the outing's keepsake is approved and delivered. The written transcript is retained with the trip record for up to 24 months, alongside our other operational records, and is then deleted.

When a Guest requests deletion.

A Guest (or a parent or guardian, for a minor) may request deletion at any time, at the contact address below or via the unsubscribe link in any keepsake email. We remove the Guest's personal information, photographs, and keepsake page within 30 days of a verified request — including during an active subscription. Any keepsake the Guest has already downloaded is theirs to keep.

When an Outfitter cancels.

After cancellation, delivered keepsake pages remain available to Guests for a 90-day grace period, so Guests have time to download and keep them. After the grace period, keepsake pages, photographs, and Guest personal information associated with the account are deleted upon request or within a reasonable period. Business records of the Outfitter relationship (invoices, agreements, correspondence) are retained as required for tax and accounting purposes.

Opt-out records.

When a Guest opts out of messages (by replying STOP, using an unsubscribe link, or contacting us), we keep a minimal suppression record — the contact and the date — indefinitely, so the opt-out is never forgotten. This record is deliberately exempt from deletion requests; it contains no other personal information and exists only to prevent unwanted contact.

Operational logs.

Delivery logs, edit history, and similar operational records are retained for up to 24 months and then deleted or de-identified.

Backups.

Deleted data may persist in encrypted backups for up to 35 days before those backups age out. Backups are not used to restore deleted personal information except as required to recover from a service failure.

Agreements.

Records of an Outfitter's acceptance of our Terms of Service, consent warranty, and approval responsibility — including the date and version accepted — are retained for the life of the business relationship and as required thereafter for legal purposes.
